Valencia County County Clerk Office
The Valencia County Clerk is Mike Milam. The official County Clerk page lists the office at 444 Luna Avenue, Los Lunas, NM 87031, with mail sent to P.O. Box 969, Los Lunas, NM 87031. The phone number is 505-866-2073, and the fax number is 505-866-2015. Office hours are Monday through Friday from 8 a.m. to 4:30 p.m., with a Tuesday closure from 9 to 9:30 a.m. for staff training.
The County Clerk is not the Valencia County Clerk of Court. That distinction matters. The County Clerk handles recorded documents, marriage licenses, copy processing, certifications, probate packet drop-off support, election resources, and related county records. District Court and Magistrate Court clerks handle court case records. The County Clerk FAQ states that divorce information is handled through District Court and is not in the County Clerk's office.

Valencia County Clerk Record Duties
The County Clerk's records role centers on county records and recorded instruments rather than court litigation files. Recorded documents may include deeds, liens, real estate contracts, UCC filings, and other instruments accepted for recording. The Treasurer's transfer-of-property materials note that a new deed must be filed with the County Clerk before the Assessor changes ownership records. The office also handles marriage licenses and can provide copies of Valencia County marriage licenses when the request supplies enough identifying information.

- Issues Valencia County marriage licenses and provides copies of licenses issued by the office.

Request Certified County Clerk Copies
The Valencia County Clerk says document copies requested and paid for in advance will be processed within 48 hours of receiving the request, excluding holidays and weekends. For certified copies by mail or shipping, the request must be in writing and must include enough information to locate the document. Marriage copy requests should include both individuals' names, the approximate year of marriage, a mailing address, and a check with the correct fee.
- Identify the County Clerk record, such as a recorded document or Valencia County marriage license.
- Write a request with enough detail to locate the record, including names, approximate date or year, and document type.
- Include the correct copy and certification fees by check when requesting by mail.
- Add a self-addressed stamped envelope sized for the documents, or a prepaid USPS, FedEx, DHL, or UPS packet.
- Call 505-866-2073 before visiting if public searcher computer availability is needed.
Valencia Clerk Request Fields
The County Clerk's mail-copy rules are practical rather than form-heavy. The research did not locate a single online form-field table for all County Clerk document requests. Instead, the official instructions require a written request, enough identifying facts, payment, and mailing materials. Requests for county administrative records that are not routine clerk copies can use the Valencia County NextRequest portal.

Valencia County Clerk Fees
The County Clerk filing-fee page lists recording, copy, probate, UCC, marriage-license, and certification fees. Fee rules can depend on document size, indexed entries, certification, and whether the copy is made by the customer or by clerk staff. Marriage-license pricing has an official-page conflict in the research, so callers should verify the current license amount before applying.
| Item | Fee or Rule |
|---|---|
| Recording | $25 for each document filed or recorded; add $25 for each additional block of 10 or fewer indexed entries after the first 10. |
| Standard copy | $1, with some page-size copy amounts listed separately. |
| Customer-made hard copy | $0.50 per page. |
| Clerk-made hard copy | $1 per page. |
| Marriage-license certification | $2.50. |
| General document certification | $2.50 in addition to document fee. |
| Probate new case | $30. |
| Probate forms packet | $5. |
| UCC filings | $25 for every 10 entries, using the same indexed-entry rule as recording. |
Note: The official research found a marriage-license fee conflict between $25 and a $55 fee notice effective June 20, 2025.
Valencia County Marriage Records
Marriage licenses are a core Valencia County Clerk record. Both applicants generally must be present to apply. If one applicant cannot appear, authorization from a District Judge is required. Applicants must provide proof of age and identity, complete the Marriage Application Information Form at the clerk's office, purchase the license before the ceremony, and return the signed license within 90 days after the ceremony. The ceremony must take place in New Mexico.
For a marriage copy, the County Clerk can help only if Valencia County issued the license. The request should give both names, the approximate year of marriage, a mailing address, and the correct fee. For broader marriage and divorce routing, see the Valencia County marriage and divorce records page.
Valencia County Probate Packet Intake
The County Clerk has a limited support role for probate. The Probate Judge page and clerk research show that completed probate application packets may be left with the County Clerk Monday through Friday from 8 a.m. to 4:30 p.m. This does not turn the County Clerk into the probate judge or the court for contested estate matters. Informal probate is handled by Valencia County Probate Court, while formal probate, contested estates, guardianships, conservatorships, trusts, and will-construction disputes move to District Court.
The Probate Court fee schedule in the research lists a $30 new probate case fee, a $5 probate forms packet, and a $5 exemplification fee plus standard fees. Those probate items appear in clerk fee materials because the County Clerk is part of the local intake and copy environment, but the probate decision-maker is the Probate Judge. A requester who needs letters, certificates, or an estate packet should identify whether the need is filing, copy pickup, certification, or a court ruling before choosing the office window.
Records Not Held by County Clerk
Several common record requests should not be sent to the Valencia County Clerk. Divorce records are handled by District Court. Criminal, civil, family, traffic, and Magistrate Court case records are handled by the court where filed, with public electronic access through New Mexico Case Lookup when available. Court documents not online can be requested through court clerk channels or the New Mexico Courts IPRA request form.
County executive, sheriff, detention, and other administrative records can use the county's NextRequest portal when they are not routine County Clerk copy services. This office split is the key to efficient Valencia County records access: ask the County Clerk for recorded instruments and marriage-license copies, and ask the courts for court cases.
The County Clerk also does not provide legal forms for recording needs. The clerk FAQ states that legal forms may be found at office or stationery stores, and that out-of-state forms are accepted if notarized and the original is sent for recording. That policy affects deed, lien, and contract recording because the office can record eligible documents but does not draft them for the requester. If a document affects title, inheritance, or court rights, legal advice may be needed before recording.
Valencia County Clerk Access Channels
County Clerk records can be reached in person, by mail, by phone, and through county public-record request routing. In person, use 444 Luna Avenue in Los Lunas. By mail, use P.O. Box 969, Los Lunas, NM 87031. By phone, call 505-866-2073, especially when a public search computer is needed. By fax, the office lists 505-866-2015. For county public records outside routine clerk copy service, the county NextRequest portal is the official fallback.
Online search options are more limited in the captured research. County navigation includes property and recording-related links, but a full document-search field inventory was not available in the text capture. For that reason, a mail or phone request should include enough detail to locate the document, such as grantor or grantee names, document type, approximate recording date, marriage year, or other identifying facts. A vague request can slow processing even when the record is public.
